Who we are

Information collected and why
For a tender, you can prepare an email with your name, email address and project name or suburb. Phone number, closing date and additional instructions are optional. You attach documents in your email app and send them to info@vanguardbuilt.net. The website does not upload or save new tender submissions. We use the emails and attachments we receive to assess your project and respond to you.
The project questionnaire holds answers only in the current page. You can choose to open a prepared email containing your project type, suburb, scope, budget and email address. Nothing is emailed until you send it from your email app. We then receive those details and your email address to assess and respond to your enquiry. Your email provider processes the message under its own terms. You may also copy the answers to share yourself. Reloading the page clears the answers. This site does not send automated SMS messages or enrol you in marketing.
Documents and other people’s information
Send only what is necessary for the project. Do not send identity documents, banking details, security codes or unrelated sensitive information. You must have authority to share the documents and any personal information within them.
Service providers and access
The site uses OpenAI Sites hosting infrastructure. Email messages and attachments are processed by your email provider and our email provider. Previous website uploads may remain in Cloudflare storage; the upload service and tender inbox have been retired. These providers process information to operate the site and may process it outside Australia. Storage location and provider processing countries have not been confirmed. Their own terms and privacy notices also apply to your use of their services. Technical information such as IP addresses and request or security logs may be processed by the hosting providers.
The former tender inbox and document-download endpoints are no longer available on the website. Information may also be disclosed where required by law. Any broader sharing with project consultants would need to be explained and arranged with you. Tender submissions are not sent to AI models. The site does not send information to analytics services or advertising platforms.
Retention and your choices
Tender emails and attachments remain in our mailbox until removed under our record-keeping practices. Retiring the website inbox does not automatically erase previous uploads from storage; there is currently no automatic deletion schedule for those records. Contact us to request access, correction or deletion, or to withdraw permission for further optional contact. We may need to retain some records for a project, a dispute or a legal obligation and will explain this where relevant. Downloaded copies and provider backups may have separate retention periods. We do not promise immediate removal from provider backups.
Questions and complaints
Email our privacy contact with your concern or submission reference. Do not email identity documents unless an appropriate verification process has been agreed. If a concern remains unresolved, you can contact the Office of the Australian Information Commissioner, which can advise whether the matter falls within its jurisdiction.
